AVE is seeking a seasoned, senior-level executive support professional to serve as the Chief of Staff to the COO of Korman Communities/President of AVE. This highly visible, strategic role will support the COO in leading and managing key initiatives across all aspects of the AVE brand's operation. The ideal candidate excels at communicating and collaborating with senior leadership as well as cross-functional teams and approaches their day-to-day responsibilities proactively and urgently.

This will be a 100% onsite position based out of our Home Office in Plymouth Meeting, PA, Monday through Friday 8:00am to 5:00pm. Travel to all AVE properties nationwide (up to 25%) will be required.

Responsibilities include but are not limited to:

  • Act as a strategic partner and right hand to the COO of Korman Communities/President of AVE
  • Understand and embody the AVE brand's mission, vision, and values and impart those principles to onsite leaders and team members on a daily basis
  • Support the COO in managing the day-to-day operations of the AVE brand
  • Serve as a liaison between the COO and onsite leadership as well as home office leaders of all departments
  • Build strong relationships with all team members to ensure effective communication
  • Communicate COO's priorities and expectations to onsite and brand leadership team members
  • Act as an extension of the COO and attend meetings on her behalf to assist with decision-making and delegating tasks to the appropriate team members
  • Strategically manage the COO's time to ensure high priority projects, meetings, and deadlines are handled efficiently, which may include calendar management, scheduling meetings, making travel arrangements and reservations, etc.
  • Enable the COO to make decisions quickly and effectively by organizing and presenting information to her in an actionable and efficient manner
  • Proactively anticipate the COO's needs and provide advance preparation for meetings, which may include printing documents, pulling reporting, ordering catering, creating agendas, etc.
  • Partner with IT to ensure the COO has the tools and systems access she requires
  • Act as a go-to point of contact to proactively address and resolve issues or answer questions that may arise as well as respond to requests on behalf of the COO by email, phone, and in person
  • Lead and manage key business initiatives and projects and ensure alignment with leadership and successful execution
  • Monitor project progress and deliver updates to the COO in a timely manner
  • Continuously identify opportunities for improvement and take the initiative to improve organizational processes
  • Prepare and facilitate leadership meetings, including creating an agenda, arranging meeting details, and following up on action items afterwards
  • Prepare reports and analysis for the COO and maintain an in-depth knowledge of AVE's systems and tools
  • Possess the highest level of professionalism and maintain complete confidentiality on a daily basis

Requirements:

  • Minimum 5-7 years of experience in a senior-level executive support role required
  • Prior onsite experience in the hotel, real estate, or property management industries strongly preferred
  • Exceptional written and verbal communication skills, with previous experience communicating on behalf of c-suite executives
  • Strong project management skills
  • Ability to proactively anticipate and resolve issues before they arise and act with a high sense of urgency
  • Proven success juggling multiple responsibilities simultaneously in a fast-paced corporate work environment
  • Flexibility to both successfully execute tasks and approach day-to-day with a strategic mindset
  • High level of adaptability and willingness to take on projects and tasks in any and all areas of our business
  • Ability to travel throughout AVE's portfolio nationwide on an as requested basis (up to 25%)
