Administrative Operations Specialist

As the Administrative Operations Specialist for AVE, you will provide high-level operational and administrative support for executive leadership and brand team members. This key role on the AVE team will take ownership of improving and implementing administrative and operational consistencies across the brand as we continue to expand into new markets nationwide. This position is ideal for candidates with exceptional communication skills and strong detail orientation to effectively support our growing brand's business needs.

This will be a 100% on-site position based out of our Home Office in Plymouth Meeting, PA. Travel to all AVE properties on a monthly basis (local) and quarterly basis (nationwide) will be required.

Responsibilities include but are not limited to:

  • Provide high-level operational and administrative support including traveling with executive and brand team members when necessary to assist with leadership meetings, property walks, property operations, and travel coordination
  • Improve and implement administrative and operational consistencies across the brand
  • Create detailed and comprehensive SOPs (both written and video training) for a variety of administrative and operational processes
  • Train and follow up on proper processes and procedures with on-site teams
  • Audit systems and reporting in both Yardi and Oscar to ensure proper procedures are being followed by team members and data integrity is being maintained
  • Manage purchase order implementation and execution for both the properties and at the AVE brand level (Marketing, IT, Asset)
  • Explain and reinforce the business need for consistency as we scale and encourage team members to collaborate with you to fully embrace and implement all necessary processes and procedures
  • Build, maintain, and distribute SOPs for our CRM and other leasing related systems, conduct regular audits, and execute marketing strategies alongside the on-site teams
  • Provide on-site property support when needed
  • Collect competitive bids for contracts and special projects and enhance bid submittal process across brand
  • Assist with the signing of contracts for EVP Asset, VP Brand Operations, and COO

Requirements:

  • Multifamily, hotel, and/or hospitality industry experience is strongly preferred but not required
  • Proven experience in training and holding team members accountable in implementing and following processes and procedures
  • Exceptional communication and follow-up skills
  • Strong process and detail orientation
  • Ability to act independently as well as part of a team
  • Flexibility and willingness to travel throughout all AVE markets nationwide as needed
