Safety Operations Manager

As the Safety Operations Manager for AVE, you are responsible for taking ownership of the planning, training, and rollout of all safety procedures and emergency action plans for all AVE properties nationwide. This key role on the AVE team will require exceptional communication skills in order to serve as the main point of contact between our brand leadership, investment partners, HR, legal, on-site teams, and outside vendors to ensure all parties are aware of incidents occurring at the properties in an urgent manner.

This will be an on-site position based out of our Home Office in Plymouth Meeting, PA. Travel to all properties in the AVE portfolio nationwide (approx. 20%) will be required.

Responsibilities include but are not limited to:

  • Responsible for working with brand and property leadership to establish and maintain emergency action plans for all AVE properties. Own the flow of communication during and after incidents while ensuring all essential departments are aware of next steps during and after all incidents.
  • Serve as the main point of contact for Marketing/Communications, HR, Asset, Legal, and Brand Operations teams to ensure all are aware of incidents occurring on properties and what steps need to be taken to ensure proper and timely communication with appropriate departments, vendors, insurance, and contractors.
  • Make recommendations based on locations, laws, and property layouts to EAP plans for both team members and residents.
  • Create incident and emergency response plan SOPs for Operations teams to ensure they are properly trained.
  • Partner with the Learning Manager and Brand Operations team to ensure all team members have properly signed off on all safety training.
  • Work with the Learning Manager to ensure all documents are up to date and safety training is completed on an annual basis to ensure compliance.
  • Partner with the Learning Manager and Brand Operations team to ensure on-site teams are effectively trained in all EAP protocol and all properties have the materials and supplies they need to respond to incidents and emergencies successfully.
  • Review all safety and property maintenance spreadsheets in Yardi to ensure we are meeting OSHA and Fair Housing safety guidelines.
  • Review Workers Compensation claims and ensure all team members are provided proper training and we meet expectations for a safe work environment for all.
  • Ensure follow up on Workers Compensation claims as they pertain to action needed by on-site leadership.
  • Work with, collaborate, and direct all team members on incidents to ensure a collective response to all concerns.
  • Own the SecureCore app implementation, rollout, and maintenance alongside Asset team leadership.
  • Communicate and report insurance claims to our partners and carriers in a timely manner while maintaining effective lines of communication and appropriate follow up.
  • Organize and facilitate de-briefing situations with property and brand leadership to mitigate future risk.
  • Act as a key point of contact for our risk management consultants and insurance companies.
  • Conduct quarterly risk assessments at all AVE properties.
  • Collaborate with Brand Operations team on all incident reporting by auditing and approving all incident reports prior to sending to insurance carriers and investment partners.
  • Train on-site teams on how to fill out and communicate incident reports and support with completion when necessary.
  • Assess risk at properties with the IT team and on-site leadership.
  • Review contracts with our partners to ensure they meet company guidelines established by our Legal team.
  • Conduct property walks with senior leadership to ensure safety for our residents, guests and team members bi-annually and as needed.

Requirements

  • Multifamily, hotel, and/or hospitality industry experience is strongly preferred but not required
  • OSHA certification is a plus
  • Proven experience in managing risk at multiple work sites
  • Exceptional communication and follow-up skills
  • Ability to act independently as well as part of a team
  • Sense of urgency in order to communicate incidents to all relevant parties in a timely manner
  • Flexibility and willingness to travel throughout all AVE markets nationwide as needed
